Salon booking deposits are the quietest confidence trick you can play on yourself, in the good way: they make your December behave.

Your roster is set and your online booking is live, so the bookings are arriving. This week is about making sure the ones that arrive actually stay.

Why December slots are precious

A Tuesday in February has forgiveness built into it. If somebody drops out at 11am you have a decent chance of filling it, because half your clients are not doing anything in particular that week.

December has no forgiveness at all. Everybody is booked, with you or with someone else, and they have been for weeks. When a two hour colour disappears from the seventeenth at short notice, that time does not refill. It just sits there, in the middle of the most valuable fortnight of your year, while you and your team stand around in a fully booked salon with nothing to do.

Worth saying too: this is almost never someone being thoughtless. December is the month everybody is overcommitted. Cars break down, kids get sick, the work thing gets moved. Your clients are not trying to cost you money. They are just juggling too much, and the appointment with nothing attached to it is the one that gets dropped first.

Which is the real argument for a deposit. It is not there to punish anybody. It is there to make your appointment the one that survives a busy week.

That is the whole problem, and it has a two minute solution.

Salon booking deposits are normal, and clients agree

The hesitation is never about the mechanics. It is the worry that asking for money up front will feel grabby, or scare people off, or change the warmth of the relationship.

It is worth noticing how much of modern life already runs this way. A flight wants paying before you board. A restaurant takes card details for a table of eight on a Friday. Concert tickets, dentists, physios, the photographer for somebody's wedding: all of them ask for something up front, and nobody experiences it as rude. It is simply what happens when a business reserves time or space that it cannot resell if you do not turn up.

Your chair is exactly that. When you book a client in for two hours, you are turning other people away for two hours. A deposit is just the polite, ordinary way of saying that the time is genuinely theirs.

Three things it does, all of them good:

  • It commits the booking. A booking with something behind it gets kept, or gets moved with proper notice rather than silently abandoned.
  • It protects your time. Your day is planned around appointments that hold, so the plan means something.
  • It sets a professional tone. Clients take a business more seriously when it takes its own time seriously, and that quietly raises the standard of the whole relationship.

None of that needs an apology. You are not asking for a favour. You are running a salon properly.

Switch on deposits in Simple Salon

One decision to make while you are in there: whether to apply deposits to every service or only the long ones. There is no wrong answer. Salons with a lot of short appointments often put deposits on colour and treatments only, and leave a half hour fringe trim alone, because the risk is not the same and neither is the inconvenience.

While you are at it, write two plain sentences about how much notice you need to move or cancel, and put them where clients will see them. Clear terms set kindly are what make a deposit feel fair rather than surprising. The ACCC's guidance on consumer rights and guarantees is a sensible place to read up before you write them. What it protects

At an average visit of $85, every booking that holds instead of evaporating is $85 of real revenue protected, and that is illustrative rather than a promise. But the money is honestly the smaller half of it.

The bigger half is what it does to your December. A book full of committed appointments is a book you can plan a team around, order stock against, and finish on time. You stop holding your breath every morning wondering which two clients are going to vanish today. For most owners that is worth more than the revenue.

Should salons take deposits for Christmas bookings?

December is the strongest case for it, because that is when an empty slot costs the most and refills the least. Plenty of salons switch deposits on for the busy season and then simply leave them on, because the sky does not fall.

How much deposit should a salon ask for?

Enough to mean something, not so much that it becomes a decision. A modest flat amount, or a percentage of the service, is the common shape. Longer and more expensive services are where a deposit earns its keep, so if you only apply it in one place, apply it to colour.

Will deposits put clients off booking?

Clients treat deposits as normal, because they pay them everywhere else. What clients dislike is a surprise, so say it plainly on the booking page and in your confirmation. Said up front and without apology, a deposit reads as a salon that is well run.
