How to Get Salon Clients to Rebook Before Christmas

Salon owner planning how to get salon clients to rebook

Part 4 of Spring Sorted: the 8-week series on getting your salon Christmas ready.

To get salon clients to rebook you mostly have to do one thing: ask, at a moment when saying yes takes one tap.

There is a number sitting in your client list right now that you have probably never looked at. It is the count of people who have been in before, who liked what you did, and who have nothing booked with you at all.

They are not unhappy. They did not defect. They walked out with wet hair and good intentions, life happened, and the next visit never got made.

Not gone, just not booked

Client loss in a salon is almost never dramatic. Hardly anybody storms out. What actually happens is a slow drift: six weeks becomes nine, nine becomes fourteen, and somewhere in there the client stops thinking of themselves as a regular without ever deciding to.

The drift is quiet enough that you can miss it for a year. You are busy, the chairs are full, and the person who has not been in since July is simply not in front of you to be noticed.

December is when that drift gets expensive. These are people who already know your work and already trust you, which makes them the easiest bookings you will get all season. They need one message. Not a campaign, not a discount, just a message that arrives while there are still good slots left.

It is also the cheapest growth available to you. Winning a brand new client takes advertising, a first visit that has to go perfectly, and a fair bit of luck. Bringing back someone who already likes your work takes one message and about forty seconds of their attention. Salons spend a lot of energy on the first and almost none on the second.

Two parts to this. Make rebooking effortless, then go and ask.

Part one: make rebooking effortless

Before you invite anybody back, make sure that saying yes is the easiest thing they do that day. That means your booking link is already sitting wherever they happen to be when they think of you. Six places, and you can do one a day:

  1. Instagram bio. The tap that turns a scroller into a booking. If you have not added one, Instagram's own help page walks through it in about a minute.
  2. Google Business Profile. Where people already search for you by name.
  3. Voicemail greeting. One extra sentence catching the client who rang while you were flat out.
  4. Email signature. Free, permanent, and on everything you send.
  5. Instagram stories. A link sticker on your work, once a week. People book off the back of a result they like.
  6. A QR code at reception. The client who never rebooks at the desk because they are digging for keys can scan it on the way out and book from the car.

Our guide to promoting your online bookings covers the lot.

Part two: get salon clients to rebook with one warm message

Now the ask. In Simple Salon you can filter for clients with no future bookings in a few clicks, which turns a vague worry into an actual list of names.

Then send them something short and human with your booking link in it. Not a sale. Not an all caps subject line. Something closer to what you would say if they walked past the window:

Hi Sam, we were just thinking it has been a little while. December books up fast and we would love to get you in before the rush. Book whenever suits: [your booking link]

That is it. Warm, brief, no pressure, one tap to act on. The step by step is in marketing to your clients with no future bookings, and the tools are built in and ready to switch on.

Two small things that lift the reply rate and cost nothing. Send it at a time a person would actually read a message, mid morning or early evening rather than during the dinner rush. And send it from a name they recognise, the salon rather than something generic, so it does not look like it came from a machine that bought their number.

A word on timing. Send this in October, not the first week of December. In October you are offering somebody a good slot. In December you are asking them to squeeze into a bad one, and the message reads as desperate rather than thoughtful.

Your December opportunity list

When you run that filter for the first time the number is usually bigger than expected, and the instinct is to read it as a failure. It is not. It is the most useful list in your business.

Every name on it is somebody who has already chosen you once. There is no convincing to do, no trust to build, no explaining what you charge. There is only a reminder to send.

Most salons never send it, which is exactly why sending it works.

Questions salon owners ask about rebooking

How do I find salon clients with no future bookings?

Filter your client list for clients with no future bookings. It takes a few clicks and gives you a list you can message directly, rather than scrolling through names hoping to recognise someone.

What should a rebooking message say?

Short, warm, specific, and with the booking link in it. Use the client's name, acknowledge it has been a while without making it awkward, give one gentle reason to act now, and stop. Four sentences is plenty. If it reads like an advertisement, cut it back until it reads like you.

When should I send rebooking invitations before Christmas?

October and early November. Late enough that December feels real to people, early enough that you still have times worth offering them.

Does promoting my online booking link actually work?

It works in proportion to how many places it lives. One link in one spot does very little. The same link in six places, where clients already are, quietly converts the people who were always going to come back but needed the path to be shorter.
